Billing & Refunds Policy
Last updated: October 13, 2026
1. Scope
This Billing and Refunds Policy explains how Achiral AI handles subscriptions, invoices, cancellations, credits, and refund requests for the Achiral AI service.
If your organization signs an order form, statement of work, data processing addendum, or other written agreement with Achiral AI, that agreement controls where it conflicts with this policy.
2. Billing
Self-service subscriptions are billed monthly in advance. Annual and other terms are available through an order form, which sets how they are billed. Free plans are not billed.
Achiral AI uses memory-seat rate-band pricing. Plan prices are based on the selected team size, plan tier, memory capacity, and organizational account limits. Apart from use of models Achiral AI hosts under Section 8, we do not meter by token.
All prices are listed in U.S. dollars unless stated otherwise. Taxes may be added where required by law.
3. Payment Methods
Self-service payments are processed through our payment provider. We do not store full card numbers on Achiral AI systems.
Sales-led and enterprise plans may be invoiced under separate payment terms, including purchase orders, ACH, or wire transfer, when approved in writing.
4. Cancellations
Self-service subscriptions renew automatically each month until canceled. The organization's Owner can cancel at any time in the billing settings of the product, with no need to contact us. We email the Owner to confirm the cancellation. Cancellation stops future renewals but does not refund the current billing period.
We will tell the Owner at least 30 days before a price change applies. A new price applies only from the next renewal, so you can cancel before it does.
After cancellation, the service remains available until the end of the paid term unless access is suspended for non-payment, misuse, security risk, or another reason described in our Terms of Service.
Data export and retention after cancellation are governed by the Terms of Service, Privacy Policy, and any applicable written agreement.
5. Refund Eligibility
Fees are non-cancellable and non-refundable once a billing period begins. Canceling for convenience, including because you do not accept a change to our terms, does not entitle you to a refund. The exceptions are the refunds the Terms of Service describe, refunds this policy describes, refunds Achiral AI approves in writing, and refunds the law requires.
Nothing in this policy limits a refund right that the law gives you.
For first-time self-service subscriptions, Achiral AI may review refund requests submitted within 30 days of the initial paid subscription start date. Approval is not automatic and may depend on account status, usage, onboarding work already performed, abuse risk, and applicable law.
Setup fees, implementation work, AI Shepherd services, custom development, professional services, enterprise onboarding, usage already consumed, and third-party pass-through costs are not refundable unless a written agreement states otherwise.
6. Credits and Billing Corrections
If we confirm a duplicate charge, billing error, or service credit owed under an applicable SLA, we may issue a refund, account credit, or invoice adjustment.
A change between paid plans takes effect immediately and is prorated for the rest of the billing period. Moving to a free plan ends the paid subscription straight away. To keep paid features until the period ends, cancel instead.
7. Failed Payments
If payment fails, we may retry the payment method on file and notify account administrators. Continued non-payment may result in restricted access, suspension, or cancellation.
You remain responsible for unpaid amounts, taxes, and approved invoice charges incurred before cancellation, suspension, or termination.
If you are a business customer, overdue amounts bear interest at 1.5% per month, or the highest rate the law allows if that is lower, and you pay our reasonable costs of collecting them, as Section 12 of the Terms of Service explains.
8. Model Inference
Your organization connects its own model provider and pays that provider directly under its own account. We do not bill you for that use, and we are not responsible for the provider's charges.
Use of models Achiral AI hosts, before your organization connects a provider or when its provider fails, comes with a one-time US$100 allowance per organization. The allowance does not reset. Any charge for use beyond it is shown in the product before it applies and is billed on your subscription.
9. Memory-Native Apps Add-On
Memory-Native Apps costs US$19 per published app per month, plus applicable taxes. Building and previewing apps is free. The add-on requires a paid plan, is billed as one item on your organization's existing subscription with a quantity equal to the number of published apps, and renews monthly until an Owner or Admin cancels it. Publishing or archiving an app partway through a billing period changes the charge from the next renewal, with no proration, refund, or credit for that period. If you activate the add-on while apps are already published, the first charge may be prorated. Turning a canceled add-on back on before its paid period ends costs nothing extra; billing resumes at the next renewal.
Canceling the add-on stops it renewing straight away. Apps keep working until the end of the billing period you have already paid for, as with a canceled subscription under Section 4. We do not give a refund or credit for the rest of that period. If the add-on is past due when you cancel, apps stop when you cancel.
If a payment on your subscription fails, apps lock until the payment succeeds, and the add-on cannot be reactivated until then. The add-on ends if your subscription ends.
A new add-on price applies only after an Owner or Admin accepts it, starting with the next renewal. Until then you pay the price you last accepted. If no one accepts it before the next renewal, the add-on does not renew and is not charged again.
Otherwise, refund review for add-on fees follows Section 5, including the 30-day review for a first activation. Use of models Achiral AI hosts is not included in the add-on fee and is handled as Section 8 describes. On Custom plans, the order form sets add-on billing. The Memory-Native Apps Additional Terms describe the add-on in full.
10. Sales-Led and Enterprise Plans
Expand and higher tiers, custom infrastructure arrangements, negotiated SLAs, and enterprise contracts are governed by the applicable order form or written agreement.
Enterprise refunds, credits, service-level remedies, and termination rights are handled according to the signed agreement. This page does not override those terms.
11. Disputed Charges
If you think a charge is wrong, tell [email protected] within 60 days of the charge. You need not pay the disputed part while we review it in good faith. If you do not dispute a charge within 60 days, you accept it, to the extent the law allows.
Contact us before you ask your bank or card issuer to reverse a payment. While a chargeback or payment reversal is pending, we may suspend your account. If you are a business customer, starting a chargeback without first disputing the charge with us breaches the Terms of Service.
12. How to Request Review
For billing questions, invoice corrections, cancellations that require support, or refund review, contact [email protected] from an administrator email associated with the account.
Include the organization name, billing email, invoice or subscription identifier, and a short description of the issue. We may ask for additional information before completing review.
